     Create and Run Purchase Reports

1. Log in and click on Reporting > Create.

2. On the page that opens, select the Start Building tab at the top, locate the Transaction data set section, and select “What are all my one-time purchases?” This will open the page where you can begin building your report.

3. To start, look at the current filters. You can do this by clicking the ▼ icon next to “Filters” on the right side of the page. If you want to see purchases from a specific period, you will want to edit the transactions timestamp. Then click run.

4. If you’d like, you can include additional field filters. 

  • You can use the search field found on the left side of the page or you can select “all fields” and scroll through to see all available data sets and their associated fields. When you find a filter you want to use, click on the filter icon next to the field you choose and click so that it turns green.
  • You can then go back to the black filter ribbon on the right of the page (as outlined in step 3) to set the parameters for the newly added field filters.

5. If you want to add more fields to your report, you can go back to the fields box on the left and use the search function or look through the available fields.

  • Once you find something you want to include, click on the field so the background becomes gray.
  • This will open a “working” table (beneath the visualization table) where you can then move the field columns wherever you would like.

6. When everything looks as you’d like it to, you can run the report.


7. If you want to save your report, click on the gear icon at the very top (at the far right of the page) > Save as a Look.

  • Personal: Only you will have access to this report (default if no selection).
  • Group: Any other users with a manager account in your organization can access the report.

8. Name your report and choose where you want to save it.

9. Going forward, you can find this report by going to Reporting > Create > Looks.

 

Helpful Tips

Sorting Data
You can sort any column by clicking on the header and sorting by ascending or descending order.

Scheduling Report Sends

You can set this report to send to specified email addresses at your preferred interval by going to the report > gearwheel icon > schedule

Next:

  • Ensure the report is named as you’d like.
  • Enter the email addresses of recipients to receive the report
  • Choose how you would like to have the data provided.
  • Leave the trigger set to interval.
  • Choose how frequently you would like your report, including delivery time.
  • Choose “save all.”

Downloading Data
1. To download your report, click the gearwheel icon at the top right. If you don’t see the gearwheel, look for the timestamp in the top right corner and hover there. The gearwheel should appear.

2. Click the gearwheel and select download.

3. From there you can choose the file format, select results, values, and limits, and name your file.

4. If you want to do any further sorting, filtering, or visualization editing, we recommend selecting Excel as the file format.

5. We recommend setting limit to include “All Results” because selecting “Results in Table” will be limit the report results to the first 500 results (max results shown in the look) and may not include everything that could appear.

6. When you are ready, select download.

7. The file will begin processing in another window and may take a while, depending on how much data is contained in the report. When your document is ready, the window should notify you of its success and tell you where to find your report.
